Controller and contact

Data we process

The data depends on the feature: contact and call-back forms include contact details and your enquiry; estimate requests may include property, work scope, budget, timing and attachments; career applications include contact details, role and any CV or files you choose to provide. ICONIX AI may process the conversation, project description, work list, parameters and photos you add.

Purpose and legal basis

Data is used to respond to enquiries, prepare or discuss estimates, return calls, communicate about projects and handle current recruitment. The usual basis is pre-contractual steps requested by you (Article 6(1)(b) GDPR). Legal obligations rely on point (c); security and handling claims on point (f). Separate consent will be requested for any distinct optional purpose (point (a)).

Recipients and external services

Form submissions and attachments are sent by the form server to a Telegram bot that notifies the ICONIX team. Messages and photos submitted to ICONIX AI for analysis are sent server-side to OpenAI. The hosting provider may access data as needed to operate the site, as may authorities where legally required. The site code does not use SMTP or an email delivery provider. WhatsApp, Telegram and social links open external services only when clicked; form data is not automatically sent to them.

Transfers and retention

Telegram and OpenAI infrastructure may process data outside the EEA. The controller should confirm the applicable transfer basis and safeguards in the production account documentation; details can be provided on request where a transfer applies. The application code does not store submissions in a database. Recipients retain them as needed to handle the matter, meet legal duties or defend claims. Exact retention in Telegram and hosting logs depends on production configuration.

Local storage and automated decisions

Live Chat history, the current AI Estimate project, report contact details and saved calculations may remain in browser local storage until you clear the site, project or browser data. ICONIX AI provides preliminary assistance only: it is not a contract, a binding price or an automated decision producing legal effects.

Your rights and complaints

Where provided by the GDPR, you may exercise the rights listed below. If processing is based on consent, you may withdraw it without affecting the lawfulness of prior processing. Send requests to info@iconixgroup.pl. You may also lodge a complaint with the President of the Polish Data Protection Office (UODO).
